At a recent speaking engagement, I was asked what I think is the greatest value a consultant can bring to a project (in this case, choosing a new association management system). I think the greatest value a consultant with significant experience can bring you is  perspective.  For example, when I work with clients on choosing a new AMS, part of what I’m looking for is what make the client “weird.” That is, what makes this association unlike most other associations. Because that is likely where the vendors are going to have the toughest time providing solid, out-of-the-box technology. And the reality is, unless you’ve worked with dozens or hundreds of associations (like I have), you and your staff are unlikely to know what makes you weird. Like most things in life, dramatic change does not happen overnight, and the same is true for improving data management. Slow gains add up fast, but there is no such thing as an “overnight success.” Identify one or two simple things you can improve in your data management. Very quickly you’ll start to see gains, and you can then build on that. Here are three ideas that are very easy to implement. Choose one of those and start doing it today. Once you’ve implemented one process, start adding others over time (maybe put a note on your calendar to start a new one each month). Over time you’ll find these little steps will add up fast! One of my least favorite questions is when an association membership professional asks something to the effect of: “My membership retention rate is 75%. How does that compare to your association?” As I’ve written before , this question frustrates me because comparing retention rates, without context, provides absolutely no information as to whether 75% is good or bad. It is somewhat analogous to the question “My most recent mailing had a 3% response rate. Is that good or bad?” Well, if you were giving away $500 gift certificates with no strings attached, then I’d say 3% is pretty bad. If you were selling $100,000 cars, I’d say 3% is pretty good. But again, without context, the 3% number is meaningless. And so it goes with retention rates. Retention rates are important relative to your organization’s structure and needs. For example, one association I’m familiar with has nearly 100% retention. Why? Because every membership is a lif...

In a meeting with a client recently, we were discussing some of the challenges the association was having with managing their data. Although they have decent technology for managing the data, they were still struggling. As we discussed some of their issues, we determined  that one problem they had was that staff didn’t really know how to use the database. So I told them: “You need to do training, so that you can use the system appropriately. This will help address a lot of the data integrity issues you’re having.” They replied “We don’t have time for training.” I’m sorry, but no amount of consulting or technology is going to address this problem. If you don’t make the effort, you won’t get any results. Knowing HOW to use a system is as important as actually having the system. Ask yourself: Are you taking the time to learn how to use your technology? Go to the article

Simply put, this is a statement that puts into words your plans for executing a new habit. As he puts it, “when situation X arises, I will perform response Y.” This same formulation can be put to good use when it comes to data management. I often hear my clients say “I can’t find the time to clean up the data in the database.” While this may true, a clear implementation intention might help address this issue on a daily basis. Here’s my suggestion: “When staff is in the database working on a record, staff will check the record for accuracy and completeness, confirming that data is complete in the following areas: [e.g., address, phone, email, key demographics].” They key to building a good habit is clearly stati...
